This Privacy Notice (“Notice”) applies to the information we collect about you when you use our website at www.trustedtechteam.com (the “Site”), our products, including our customer platform (the “Platform”) and integrated software modules, and various services, such as our consulting, customer support, technical support, and data management services (collectively, our “Services”). This Notice explains your choices surrounding how we use information about you, including your rights under applicable privacy laws.

Our privacy practices are subject to the laws of the places in which we do business, so we have added region-specific terms that apply only to individuals located in certain jurisdictions, or as required by applicable law, including:

California, under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the “CCPA”);
Virginia, under the Virginia Consumer Data Protection Act;
Other U.S. states with comparable consumer privacy laws; and
The European Economic Area (“EEA”), United Kingdom (“UK”), and Switzerland, under the EU General Data Protection Regulation and the UK GDPR (together, “GDPR”), to the extent we process personal information about individuals located in those regions.

NOTE: TrustedTech is a DBA of Trusted Tech Team, LLC. TrustedTech provides its Services pursuant to a contract with its Customers. Where we process personal data pursuant to an agreement with a Customer to provide Services, the Customer controls the information processed by the Services. Please contact your account administrator for information regarding the personal information they control.

Changes to this Notice

We may update this Privacy Notice from time to time. We will post our changes to this page and encourage you to review this document when you use our Site and Services to stay informed. If we make changes that materially alter your privacy rights, we will take appropriate measures to inform you, consistent with the significance of the changes we make. If you disagree with the changes to this Notice, you should discontinue your use of the Site and Services.

Application of this Notice

This Notice does not apply to:

Third-Party Sites. Websites, apps, videos (embedded or direct links), or other content (each a “Linked Site”) to which we link that are not operated by us. Linked Sites have their own personal information collection and use practices, and we are not responsible for those practices. We encourage you to read each Linked Site’s privacy disclosures to understand how your information is processed.
Non-Personal Information. Our processing of information that cannot be linked to an identifiable or identified individual. We may process this data for any legitimate business purpose.
Workforce Members and Candidates. Our processing of the personal information of current or former workforce members and job applicants is not governed by this Notice.

Where We Operate and Applicable Law

Trusted Tech Team, LLC operates primarily from the United States. We have adopted this Notice to align, where applicable, with the CCPA, other U.S. state consumer privacy laws, and, with respect to personal information we may incidentally receive about individuals located in the EEA, UK, or Switzerland, the GDPR. As explained further under International Data Transfers, below, we do not currently maintain an establishment in the EEA, UK, or Switzerland, and our Services are primarily directed to customers located in the United States. Individuals located in the EEA, UK, or Switzerland should also review the privacy notice published by our affiliate at www.trustedtechteam.co.uk, which is designed for that audience.

Collection, Use, and Sharing of Your Personal Information

The table below summarizes, by category of relationship, the personal information we typically collect about you, how we use it, and with whom we may share it. Additional detail on each category of information follows the table.

To respond to your inquiry, provide requested quotes or information, and, where you have consented, send you marketing communications, newsletters, and event invitations.	With TrustedTech personnel who need the information to respond to you, and with the service providers who support our email, CRM, and marketing platforms.
Customer or Customer Representative	Your name, contact information, billing and shipping address, employer or company information, payment and billing details, government identifiers (where needed for licensing verification), and records of the products, licenses, and services you purchase or use, together with your related communications and support history.	To fulfill and administer orders, process payments, provide customer and technical support, verify licensing eligibility, manage your account, and communicate with you about your Services.	With payment processors, software and licensing vendors (including Microsoft), IT infrastructure and support providers, and as otherwise described in this Notice. Where we process personal information on behalf of a business Customer under a services agreement, that Customer controls the information.
Vendor, Reseller Partner, or Supplier Representative	Your name, job title, contact information, and information about your company’s products or services and our business relationship with your company.	To manage our vendor and partner relationships, procure or provide goods and services, and administer related contracts.	With TrustedTech personnel who manage the relationship, and with the financial institutions or business software platforms we use to administer it.
Individual Vendor or Independent Contractor	Your name, contact information, payment or banking details, and tax identification information.	To engage your services, process payments, and comply with applicable tax and recordkeeping obligations. Information You Provide to Us

We collect information about you when you provide it through our Site and Services. This information includes:

Your Personal Details. These include your first and last name, email address, phone number, mailing and billing address, employer or group information, and other contact information you provide.
Government Identifiers. These include your driver’s license, passport, or other government ID information, as well as your country of citizenship, where relevant to licensing verification.
Payment Information. We collect payment and billing information when you register for certain paid Services, including billing representative name and contact information and payment card details collected via secure payment processing services.
Survey Data. If you take part in a survey or other general research, you may provide personal information in your responses, feedback, or comments.
Contest, Sweepstakes, and Prize Drawing Data. If you take part in a contest, sweepstakes, or prize drawing, you may provide personal information to enter or as part of participation.
Messages and Email Data. We collect information about you when you send, receive, open, read, or otherwise engage with messages, email, or other communications in connection with our Services, including whether you have opened or acted on those communications.
Social Media Content. For example, interactions with our social media pages and content you post on them, which may include your handle, account ID, and publicly available photos and other data you have made public.
Other Personal Information You Provide. If you provide personal information other than that described above, we will collect and use it for the purposes for which you provided it or other consistent purposes.
Inferences. In certain instances, we may infer personal information about you based on information you have provided or that we have collected about you.

Information We Automatically Collect

We and our third-party partners use cookies, web beacons, clear GIFs, pixels, internet tags, and other similar tracking technologies (collectively, “tracking technologies”) to gather information when you interact with our websites and email communications. We use some of these technologies to optimize and secure our websites and your account, and for compatible purposes such as saving your preferences, fixing errors, and ensuring consistent service.

We permit third parties to use tracking technologies on our websites for analytics and advertising, including to help manage and display advertisements, tailor advertisements to your interests, and provide metrics on advertising effectiveness. These third parties may use their own technology to provide advertising tailored to your interests, which may appear on our websites or others.

The information we collect using these technologies includes:

Device and Browser Identifiers. For example, an assigned user ID, IP address, or similar identifier used to identify your device, including when you connect to WiFi or other internet-enabled services at our locations.
Coarse and Precise Location Information. We may derive a general approximation of your location not based on GPS, or collect precise location where you enable it via your device settings.
Browsing and Search History. Information about content you view and searches you make on our Site.
Website Log and Usage Data. Information about pages viewed, services and features used, browser type, and links or communications you interacted with.
Advertising Metrics. Information about advertisements you have viewed on our website.
Chat Modules. We may collect certain categories of personal information when you use our interactive chat module. By interacting with the chat box, you consent to this collection and acknowledge we may use this data to provide the chat functionality.

Some browsers have incorporated “do not track” (DNT) features. At this time, the Site does not respond to DNT signals. We describe our handling of the Global Privacy Control signal under Your Privacy Preferences, below.

You have the ability to reject and otherwise manage certain cookies other than cookies that are necessary to your fluid navigation of the Site by making selections on the cookie banner that appears when you first connect to the Site.

Information We Collect from Other Sources

We obtain the personal information described above from third parties including:

Other Users of Our Services. For example, an administrator may provide your contact information when designating you as a billing, technical, or administrative contact, or when inviting you to the Services.
Linked Services. We receive information about you when you or your administrator integrate third-party services with our Services, including services such as Microsoft, depending on that service’s settings, permissions, and policies.
Business Services Providers, including IT operations providers (cloud computing, internet service, data backup and security, infrastructure providers) and operations providers (payment processors, security vendors, business software providers, banks, facilities management).
Marketing and Advertising Providers, who may supply business information and publicly available data, including physical mail addresses, job titles, email addresses, phone numbers, intent data, IP addresses, and social media profiles, for targeted advertising, personalized communications, event promotion, and profiling.
Publicly Available Sources, including public databases, marketing partners, and event sponsors.

Use of Your Personal Information

We may use your personal information for a variety of reasons, depending on how you interact with our Services, including for:

Delivering Our Services to you and providing related customer support, communication, and security.
Customer Service, to maintain and service products and accounts, provide training for quality assurance, and perform similar activities.
Processing Transactions, to process or fulfill orders, verify customer information, process payments, confirm eligibility for promotional benefits, and perform similar activities.
Research and Development, to optimize and improve our Services using feedback and aggregated usage data, and to test and analyze new features.
Policy Enforcement, including enforcing our terms of service, acceptable use policies, anti-spam policies, and similar policies.
Advertising and Marketing, to send marketing material relating to product specials, promotions, or offers, and to perform related research and analytics.
Contextual and Behavioral Targeting, to provide contextual customization of ads shown as part of an interaction with our website or application.
Counting Ad Impressions and Website Interactions, to audit interactions with our websites, applications, or advertisements.
Fraud Prevention, to detect security incidents and protect against malicious, deceptive, fraudulent, or illegal activity.
Defending Against Claims and Litigation.
With Your Consent, where you have given consent for a specific purpose not listed above.

Data Retention

We retain your personal information only for so long as necessary to fulfill the purposes for which we collected it, including to satisfy legal, accounting, or reporting requirements. To determine the appropriate retention period, we consider the amount, nature, and sensitivity of the information; the potential risk of harm from unauthorized use or disclosure; the purposes for which we process it and whether those purposes can be achieved through other means; and applicable legal requirements. In some circumstances, you may ask us to delete your information. We may also anonymize personal information for research or statistical purposes, in which case we may use it indefinitely without further notice to you.

Specific retention periods vary by category of personal information and the purpose for which it was collected. For example, we generally retain transaction records and customer account information for at least seven years to comply with tax and accounting obligations, marketing contact information for as long as the individual remains subscribed or until deletion is requested, and website analytics data in aggregated or pseudonymized form for up to 26 months. Data Security

We have implemented and maintain reasonable security procedures and practices, appropriate to the nature of the information, to protect your personal information from unauthorized access, destruction, use, modification, or disclosure. No security measure is perfect, so we cannot guarantee the security of your personal information. If you believe your interaction with us is no longer secure, please notify us immediately as described under Contact Us, below.

International Data Transfers

We are located and operate in the United States. By submitting personal information to us, you understand that we may transfer it to a country other than your own, including the United States, for processing. The laws that apply to personal information in the United States, or other countries in which we or our service providers process personal information, may differ from the laws in your country. Whenever we engage a service provider, we require that its privacy and security standards align with our requirements and applicable law.

Trusted Tech Team, LLC does not maintain an establishment in the EEA, the UK, or Switzerland, nor do we intentionally direct our Services to individuals located in those regions. If you are located in the EEA, UK, or Switzerland, please visit www.trustedtechteam.co.uk. To the extent we incidentally process personal information about an individual located in the EEA, UK, or Switzerland—for example, because you contacted us directly—we rely on the derogations available under Article 49 of the GDPR (such as performance of a contract at your request, or your explicit consent) or, where applicable, incorporate the European Commission’s Standard Contractual Clauses or an equivalent safeguard with our service providers to protect that transfer.

Legal Basis for Processing (EEA, UK, and Switzerland)

Where the GDPR applies to our processing of your personal information, we rely on one or more of the following legal bases:

Contract, performance of a contract with you, or steps necessary to enter into a contract with you;
Legitimate Interests, our legitimate interests in operating, securing, and improving our Services, provided those interests are not outweighed by your data protection interests or fundamental rights;
Legal Obligation, compliance with a legal obligation to which we are subject; and
Consent, your consent, where we have identified consent as the basis for a specific processing activity (for example, certain marketing communications or non-essential cookies), which you may withdraw at any time without affecting the lawfulness of processing carried out before withdrawal.

Adjusting Communication Preferences

Emails from TrustedTech. During registration, you should be presented with an opt-in to receive email communications. To stop receiving them, click “unsubscribe” at the bottom of the email or email us at support@trustedtechteam.com. Opting out of marketing or newsletter emails will not opt you out of transactional or similar emails related to your account, purchases, or legal or contractual updates; you are not able to opt out of these.
Text Messages. You may opt out of automated text notifications at any time by replying “STOP,” or any alternative keyword we have shared with you. You may still receive communications regarding safety issues, such as messages related to your account, even after opting out.

Opting Out of Cookies and Similar Technologies

There are several ways to opt out of cookies. If you do not accept cookies, you may experience some inconvenience using the Site—for example, we will not be able to recognize your computer, and you will need to log in every time you visit, and you will not receive advertising or offers relevant to your interests.

Browser Settings. You can opt out of cookies through your browser settings; check your browser’s instructions for details.
Google Analytics. We collect data through Google Analytics and Adobe Analytics, which use cookies and similar technologies to collect and analyze data about use of the Site. Learn about Google’s practices Google’s Privacy & Terms and opt out via the Google Analytics Opt-Out Browser Add-On.
Facebook. You can use Facebook’s privacy settings to restrict Facebook’s use of cookies.
Cookie Banner. You have the ability to reject and otherwise manage cookies other than cookies that are necessary to your fluid navigation of the Site by making selections on the cookie banner that appears when you first connect to the Site.
Global Privacy Control (GPC). California and certain other U.S. state residents may opt out of the sale or sharing of personal information and targeted advertising by broadcasting an Opt-Out Preference Signal, such as GPC, through a supported browser or browser extension. Where we are able to detect a valid GPC signal, we will treat it as a request to opt out of the sale or sharing of personal information and targeted advertising associated with that browser or device, in accordance with applicable law.

Your Privacy Rights — California Residents

This section applies to California residents and supplements the rest of this Notice. It describes your rights under the CCPA. Any terms defined in the CCPA have the same meaning when used in this section.

When TrustedTech processes personal information on behalf of a business Customer pursuant to a written services agreement, TrustedTech acts as a “service provider” under the CCPA. In that capacity, the Customer—not TrustedTech—is the “business” responsible for CCPA compliance with respect to that information. This section applies to personal information for which TrustedTech is the “business” under the CCPA, such as information collected through the Site, direct sales transactions, and marketing activities.

Notice at Collection: Categories of Personal Information

In the preceding 12 months, we have collected the categories of personal information described throughout this Notice, which generally fall within the following CCPA categories: identifiers; customer records information (Cal. Civ. Code § 1798.80(e)); commercial information; internet or other electronic network activity information; geolocation data; audio, electronic, or visual information; professional or employment-related information (for business contacts); inferences drawn from the foregoing; and sensitive personal information. We do not knowingly collect the personal information of minors under 16 for purposes of sale or sharing (see Children’s Privacy, below).

Disclosure and “Sale” or “Sharing” of Personal Information

We disclose the categories of personal information described in this Notice to the categories of service providers and third parties described above, for the business purposes described above. We do not sell personal information for monetary consideration. However, our use of certain advertising and analytics tracking technologies may constitute a “sharing” of personal information for cross-context behavioral advertising under the CCPA. You have the right to opt out of this sharing as described under Opting Out of Cookies and Global Privacy Control, above, and via our dedicated opt-out mechanism described below.

In addition to the email and GPC opt-out methods described above, you may exercise your right to opt out of sale or sharing by clicking the “Do Not Sell or Share My Personal Information” button, or by contacting us using any of the methods described under Contact Us, below.

Your California Privacy Rights

California residents have the following rights under the CCPA:

Right to Know/Access. The right to know what personal information TrustedTech has collected about you, including the categories of personal information, the categories of sources, the business or commercial purpose for collecting, selling, or sharing it, the categories of third parties to whom it is disclosed, and the specific pieces of personal information collected about you.
Right to Delete. The right to request that we delete personal information we have collected from you, subject to certain exceptions.
Right to Correct. The right to request that we correct inaccurate personal information we maintain about you.
Right to Opt Out of Sale/Sharing. The right to direct us not to sell or share your personal information or use it for cross-context behavioral advertising.
Right to Limit Use of Sensitive Personal Information. The right to direct us to limit our use of sensitive personal information to what is necessary to perform the Services, to the extent we process such information. TrustedTech does not use or disclose sensitive personal information for any purpose other than permissible purposes under the CCPA.
Right to Non-Discrimination. We will not discriminate against you for exercising any of these rights.
Right to Designate an Authorized Agent. You may designate an authorized agent to make a request on your behalf, subject to our ability to verify the agent’s authority and your identity.

Exercising Your CCPA Rights

California residents may submit CCPA requests themselves or through an authorized agent. Requests are subject to our verification measures, which vary depending on the type of request and the sensitivity of the information involved. We may ask you to provide information to confirm your identity in our records. If you authorize an agent to submit a request on your behalf, we may require the agent to provide proof that you gave the agent signed permission to submit the request and may verify the agent’s identity and authority to act on your behalf.

Submitting Access, Deletion, and Correction Requests. To make an access, deletion, correction, or limitation request, please either complete our CCPA form, which includes a “Do Not Sell or Share My Personal Information” button, email us at support@trustedtechteam.com, call us at (855) 202-8140, or submit a request through our Contact Us form.

Opting Out of Sale, Sharing, and Targeted Advertising. To make a request to opt out of the sale and/or sharing of personal information, email us at support@trustedtechteam.com.

We will respond within 45 days of receiving a verifiable request, or notify you if we need additional time along with the reason for the delay. If we decline to act on a request, we will inform you of our decision and the reasons for it, and, where applicable, any right you have to appeal that decision.

If we deny your request in whole or in part, you have the right to appeal our decision. To submit an appeal, email us at support@trustedtechteam.com with the subject line “CCPA Appeal” and include a description of the basis for your appeal. We will respond to your appeal in writing within the timeframe required by applicable law. If your appeal is denied, you will be provided with information on how to contact the California Privacy Protection Agency to submit a complaint.

California Shine the Light Disclosures

California Civil Code Section 1798.83 permits visitors to our Site and users of our Services who are California residents to request, once a year, certain information regarding our disclosure of personal information to third parties for their direct marketing purposes. To make a request, please send us an email at support@trustedtechteam.com and include “Shine the Light Request” in the subject line.

Notice of Financial Incentive

We may offer our customers loyalty and other incentive programs that provide certain benefits, such as rewards and exclusive offers. We may also provide other promotional campaigns, such as sweepstakes, contests, or limited-time promotions (collectively, the “Programs”). When you sign up for one of these Programs, we typically ask you to provide your name and contact information (such as email address and/or telephone number). Because our Programs involve the collection of personal information, they might be interpreted as a “financial incentive” program under the CCPA.

The value of your personal information to us is related to the value of the free or discounted products or services, or other benefits that you obtain or that are provided as part of the applicable Program, less the expense related to offering those products, services, and benefits to Program participants. Participation in a Program is governed by the applicable terms and conditions, which will also describe the financial incentives associated with the promotion and how to participate. You are not obligated to participate in any Program and may terminate your participation at any time. You may withdraw from participating in a Program at any time by contacting us using the designated method set forth in the applicable Program terms and conditions.

Your Privacy Rights — Virginia Residents

The following section provides an overview of privacy rights afforded to Virginia residents by the Virginia Consumer Data Protection Act. Virginia residents’ rights include:

Access. The right to know (or confirm) what personal information an entity has collected about you, and to receive a copy of it.
Deletion. The right to request that an entity delete personal information it has collected from you.
Restriction. The right to request that an entity restrict how it uses certain personal information.
Correction. The right to request correction of inaccurate personal information maintained by an entity.
Opt-Out of Sale and Targeted Ads. The right to opt out of the sale of your personal information to third parties and the use of personal information for targeted advertising.
Opt-Out of Profiling. The right to opt out of profiling in furtherance of decisions that produce legal or similarly significant effects concerning you.

To exercise any of these rights, please contact us by emailing support@trustedtechteam.com, by submitting a request through our Contact Us form, or by completing our CCPA Request Form. We will respond to your request within 45 days of receipt. If we decline to take action on your request, we will inform you of our decision and the reasons for it.

If we decline your request, you have the right to appeal our decision by emailing support@trustedtechteam.com with the subject line “Virginia Privacy Appeal.” We will respond to your appeal within 60 days. If your appeal is denied, you will be provided with information on how to contact the Virginia Attorney General to submit a complaint.

Your Privacy Rights — Residents of Other U.S. States

A growing number of U.S. states—including Colorado, Connecticut, Texas, Oregon, Montana, and others—have enacted consumer privacy laws that grant residents rights similar to those described in the California and Virginia sections above, such as the right to access, correct, and delete personal information, the right to opt out of the sale of personal information, targeted advertising, and certain profiling, and, in some states, the right to appeal a denial of a privacy request.

If you are a resident of a state with an applicable consumer privacy law, you may exercise the rights available to you under that law by contacting us using any of the methods described under Contact Us or Exercising Your Privacy Rights, below. We will process your request in accordance with the requirements of the applicable state law, including any required response timeframes and appeal procedures.

Your Privacy Rights — Residents of the European Economic Area, United Kingdom, and Switzerland

If you are located in the EEA, UK, or Switzerland, you have the following rights under the GDPR with respect to your personal information, subject to certain exceptions and limitations provided by law:

Access. To obtain confirmation of whether we process your personal information and, if so, a copy of that information.
Rectification. To request correction of inaccurate or incomplete personal information.
Erasure. To request deletion of your personal information in certain circumstances, such as where it is no longer necessary for the purposes for which it was collected, or where you withdraw consent.

Exercising Your Privacy Rights

You may make a request at any time to exercise your right to access, delete, restrict, or correct your data by emailing support@trustedtechteam.com or by submitting a request through our Contact Us form. To request to opt out of the sale or sharing of your personal information for targeted advertising, email support@trustedtechteam.com.

We will respond to U.S. requests within 45 days of successful receipt. For requests from individuals in the EEA, UK, or Switzerland, we will endeavor to respond within one month of receipt, as required by the GDPR, extending that period where necessary and permitted by law, with notice to you of the extension and the reason for it. If we decline to act on your request, we will inform you of our decision and the reasons for it.

Children’s Privacy

Our Services are not intended for persons under 16 years of age. We do not knowingly collect or process the personal information of individuals under the age of 16. If we learn that we have collected personal information from a child under age 16, we will delete that information as quickly as possible.
